Privacy Policy

I operate under my own name as ‘Alexa Tewkesbury’ and am a registered sole trader. I am an author who offers a proofreading, copy editing and copywriting service to other authors, content creators of all descriptions, and businesses. I work with clients both nationally and internationally.

This privacy policy is in place in accordance with the requirements of the GDPR to let you know what data I collect from you, how I store and protect this information, and the ways in which I use it.

The policy was updated on 23 May 2018.

 

I collect certain data from you in order to:

  • Respond to you when you contact me so that I can let you know my availability for your project or provide you with a quote
  • Keep in touch with you whilst I am working on your project
  • Keep an eye on my website usage
  • Advise you if I am unable to take on your project and suggest alternative editorial professionals who may be able to assist

 

I collect the following basic data from you:

  • Your name
  • Your email address
  • Your postal address
  • Details relevant to your project such as book category (fiction or non-fiction, for children or adults), other writing type, word count, whether you are an independent author or a business, whether your aim is to self-publish, and your preferred turnaround time for your project

 

Data is collected via:

  • The contact form on my website. My website is SSL-certified for improved security.
  • My website email account: alexa@alexatewkesbury.com and admin@alexatewkesbury.com

 

I use your data to:

  • Correspond with you in regard to your enquiry
  • Keep in touch with you whilst I am working on your project
  • Invoice you for work carried out
  • Prepare the necessary paperwork for my business’s tax purposes in order to comply with the requirements of HMRC

Please note that I will only ever use your data for the purposes described above. I will never use the information you give me for marketing purposes or to promote my business, unless you have kindly agreed in writing to provide me with a testimonial for my website. In such an instance, I will ask your permission to use your name as the author of the testimonial, but no contact details pertaining to you or your business will be included, unless at your request.

 

Cookies

My website host uses cookies. Therefore, when you visit my site, cookies are also used. Through the use of cookies, my website is able to identify your computer as you browse my site. However, cookies placed on your computer do not mean that I can access your computer or any personal information that you do not wish to provide.

Your personal data is stored:

  • On my password-protected website email account: alexa@alexatewkesbury.com and admin@alexatewkesbury.com. (My website is hosted by iPages and their privacy policy is available here: www.ipages.biz/privacy.) This is my main email business account for current clients and the first point of contact for new clients (unless they have used the contact form).
  • On hard copy invoices (name, postal address and project only) for the purposes of my accounts and tax obligations
  • On electronic copy invoices (name, postal address and project only) on my password-protected computer and a memory stick

For a small number of long-standing clients, I also use password-protected email accounts on AOL as this work was in place before I established my website. I do not use these AOL accounts for the majority of my current clients, nor will I for future clients.

Once I have received a project from you via email, I download the files so that I can work on them, then store them in a folder on both my password-protected computer and a memory stick.

 

How long will I keep your data?

  • For tax purposes, I am required to keep records for at least five years following the submission deadline for the specific tax year. I therefore keep hard copies of all invoices filed with my accounts for at least that length of time, in addition to storing invoices on my password-protected computer and a memory stick
  • Should you wish me to delete your data, please let me know. Provided doing so does not prevent me from fulfilling my obligations to HMRC, I will of course act on your request
  • I store the projects you may send to me for editorial work on my password-protected computer and a memory stick for the duration of my assistance with them. I then keep them for at least one year following completion, in case any queries should arise. Should you wish your project to be deleted from my computer immediately upon its completion, please let me know.
  • Any third-party data, for example names or addresses included in business correspondence, reports or statements emailed for proofreading, will be deleted immediately upon the item’s return to you.

Please note that, as I work for many clients on a regular basis, I will only delete data (eg your email address) when asked to do so.

However, do be assured that I will never share your personal information with anyone unless you ask me to do so, or I am subject to an audit from HMRC.
